Onboard Repair Teams: Preparing the Vessel and the Work Scope

October 27, 2026

Onboard repair teams need more than a berth and a joining date. The vessel must keep operating while people, tools and work areas compete for space. RAM MULTI INVEST Romania starts the discussion with the vessel, the assignment and the interfaces with its organisation.

Define the assignment for onboard repair teams

First, identify the vessel and its expected location during the work. Will it be alongside, in a yard or trading between ports? Next, describe the systems, components and drawings included in the assignment.

Also explain the available work window. Port calls, delivery dates and other contractors can constrain access. Therefore, agree which tasks the team can start and what conditions must be in place before each stage.

Choose a clear delivery arrangement

A client may need additional trades under its own supervision. Alternatively, it may require a defined technical work package. Confirm the arrangement before agreeing the final team size.

Next, name the shipboard and shore contacts. Explain who directs the work, approves changes and accepts the records. The IMO's ISM Code overview provides context for ship safety management. The vessel's approved arrangements govern the actual assignment.

Prepare access and practical logistics

Onboard repair teams need confirmed joining arrangements and the documents the vessel requires. Also discuss accommodation, transport, tools, materials and the route to the work area. Give each dependency an owner before travel.

However, practical access does not mean permission to start every task. The ship's organisation must coordinate permits, system availability and other work. Agree the briefing and the communication routine before the first shift.

Plan the handover before the team joins

  • Define the included scope and its acceptance criteria.
  • Confirm supervision and shipboard reporting lines.
  • Agree the joining, access and equipment arrangements.
  • Set the format for progress, test records and open points.

Finally, decide how the team will report incomplete work when it leaves. Separate physical completion from outstanding inspection or documentation. This helps the receiving crew understand the condition of the work and the next action.
